Ronin Road Adventures ("we") collects only the personal data we need to run your trip, and we do not sell it. This policy covers roninroadadventures.com, our booking and enquiry forms, WhatsApp, Instagram (@ronin_road_adventures) and the trip itself.

Permit offices, police check-posts and local authorities, where required for the route
Hotels, homestays, transport operators, guides and partner operators who deliver parts of the trip, limited to what they need
Airlines, visa agents and overseas partners for international trips
Payment providers (Razorpay, UPI apps, our bank) to process payments
Service providers that host our website and CMS (currently Vercel and Supabase), email and messaging tools
Insurers and medical providers in an emergency
We do not sell or rent your data, and we do not share it with advertisers.
Cookies and analytics
The website uses essential cookies to work and may use analytics to count visits. Analytics cookies are set only after you accept them on the cookie banner, and you can withdraw that choice in your browser settings.
How long we keep it
Booking and payment records: 8 years
Medical declarations and emergency contacts: deleted 12 months after the trip ends, unless an incident requires us to keep them longer
ID and passport copies: deleted within 30 days after the trip ends, unless a permit office requires a copy on file
Enquiries that do not become bookings: 12 months
Marketing consent: until you withdraw it
Security
Data is stored on access-controlled systems. ID copies and medical details are shared with staff and partners only on a need-to-know basis and are deleted from WhatsApp chats and phones after the trip. No system is fully secure, so tell us at once if you think your data has been misused.
Your rights
You can ask us to show you the data we hold about you, correct it, delete it, or stop using it for marketing. You can also withdraw consent you gave earlier; where we need the data to run a trip you have booked, we will explain what that means for the booking. We reply within 30 days.
Children
We book trips for people under 18 only through a parent or guardian, and we collect their data only from that adult.
Changes
We may update this policy and will post the new effective date here. Material changes will be announced on the website.
